Parents' Association Board Meeting

Philanthropy: Alden Reith, Annual Fund Director/Director of Parent Relations and Kevin Sottak, Director of External Affairs, attended the meeting to educate the Board and guests on the importance of the Annual Fund and how crucial parent participation is.Last year 72% of parents participated; while this is very good, we would like to see it go higher. The Annual Fund supports a wide variety of needs from actual operating expenses of the school to the gap between paid tuition and the actual cost of our children's education at St. Paul's; tuition does not cover the full cost of the SP experience. Other items covered through the Annual Fund are tuition financial aid, faculty training, student activities, sports teams, school clubs, internet service, grade trips, plowing snow, electricity, etc.Everyone benefits from the Annual Fund, so a successful campaign goes a long way.Help is needed with phon-a-thons; we don't ask for large sums of money – participation can mean anything from $25 and up, depending on what is comfortable for the family.And the more people who are involved, the less we need each family to give. Last year we also had 100% teacher/faculty/staff participation; that speaks volumes.We need parents to put the word out to support the Annual Fund; every parent's participation is key.
PA Committees: All committee positions are now full. Thank you to everyone who has stepped up to chair or co-chair a committee, as well as all who are members of committees. At present we have 6 Members-At-Large but should have 8. These positions attend the meetings and get involved in committee work and hopefully will take on committee chair positions at some point; the term is 2 years. A discussion of the by-laws and how to get more Members-At-Large was discussed with the plan being to continue this discussion at a later meeting.
PA 2014-2015 Budget: A motion was made by Ron Maher to approve the budget as discussed at the September meeting; it was seconded by Stephanie Keenan.Motion approved.Anyone needing request for payment forms can get them from Sharon Gasior; she also has the school's EIN number for tax free purchasing should anyone need it.Please remember that all contracts for any PA activity must be signed by Chris Fallon in the SP Business Office.
Make-A-Wish: Each year $3,000 is spent towards needs of the Lower, Middle or Upper School. The Treasurer generally solicits ideas from the heads of each school as to what is on their wish lists. June Bartlett will discuss with David Faus whether the funds should be rotated from school to school each year and get back with the PA to discuss and vote on at the next meeting.
Committee reports are attached, with further discussion on the following:
Autumn Cheer – 84 RSVPs have been received to date. However, it is still early since the date for the event is October 24.
Fallapalooza – We are still in need of about 35 volunteers. There will be "rides" – mechanical bull, rock climbing wall, logjammer, etc. Food is being provided by the Upper School classes.There are three bands with a DJ to fill in. The SPSG Varsity soccer game is at 6:00 p.m. with the SP Varsity soccer game at 7:30 p.m.The PA Jail is returning, the bookstore will sell items with the proceeds going to the PA.
